Key Responsibilities

1. Government-Funded Research Project Management

  • Provide end-to-end administrative support for research projects funded by Vietnamese government agencies, from proposal preparation and internal approval to project implementation, reporting, audit, and closure.
  • Coordinate project registration, contracts, budgets, milestones, deliverables, and required documentation in accordance with government regulations and University policies.
  • Work closely with Principal Investigators to monitor project progress, address administrative issues, and ensure timely completion of project obligations.

2. Research Partnerships and Funding Development

  • Develop and maintain relationships with government agencies, universities, research institutes, industry partners, foundations, and other funding organizations.
  • Identify funding and collaboration opportunities and support faculty in developing competitive proposals and joint research initiatives.
  • Coordinate partnership discussions, proposal submissions, institutional approvals, agreements, and partner documentation.
  • Serve as a key contact point for external partners and facilitate effective communication throughout the project lifecycle.

3. Portfolio Monitoring and Reporting

  • Maintain project databases and track funding status, project performance, deliverables, and reporting deadlines.
  • Prepare regular and ad hoc reports on government-funded projects, funding outcomes, budget utilization, and key risks.
  • Liaise with funding agencies and internal stakeholders to resolve issues and support effective project delivery.

4. Research Engagement and Project Support

  • Coordinate project-related seminars, workshops, review meetings, field trips, and visits by government agencies and research partners.
  • Support communication of key project outcomes, research impact, and institutional achievements through appropriate channels.
  • Perform other research management duties as assigned.

5. Budget, Procurement, and Compliance

  • Monitor project budgets, expenditures, procurement plans, and payment documentation to ensure compliance with approved budgets and applicable regulations.
  • Coordinate with Finance, Procurement, HR, and Legal on contracts, staffing, purchasing, reimbursement, and other project requirements.
  • Maintain complete and accurate records to support reporting, inspection, audit, and project close-out.

Minimum Qualifications:

  • Bachelor or Master‘s degree in Research Administration, Business Management, or a related field.
  • 3 years of experience in research administration, grant management, or equivalent roles.
  • Demonstrated experience with grant application processes and post-award management.
  • Knowledge of compliance requirements for research grants and contracts.
  • Proficiency with grant management systems and financial tracking tools.

Preferred Qualifications:

  • Experience working in higher education or research institutions.
  • Knowledge of both Vietnamese and international funding mechanisms.
  • Background in developing successful international grant applications.
  • Certification in Research Administration (CRA) or Project Management (PMP).
  • Experience with research development strategies and faculty mentoring.

  • Problem-solving abilities to navigate complex grant requirements and resolve implementation issues.
  • Cultural sensitivity and experience working in diverse and international environments.
