ABOUT THE POSITION
The Testing and Quality Assurance Officer will report to the Accreditation, Testing, and Quality Assurance Manager.
The Testing and Quality Assurance Officer plays a key role in ensuring the integrity and quality of final examinations and institutional survey operation. This position focuses on 60% exam-related responsibilities—such as developing procedures, training invigilators, conducting exam room visits, and monitoring academic integrity—and 40% on supporting university-wide surveys like course evaluations and student feedback. The role involves close coordination with academic units and requires strong attention to detail, a high level of responsibility, and the ability to handle sensitive information with confidentiality.
KEY ACCOUNTABILITIES
- Final Exam Management
- Develop and regularly update Standard Operating Procedures (SOPs) for the organization of final exams across the university.
- Monitor the implementation of exam SOPs by all stakeholders and periodically review them to enhance efficiency and effectiveness.
- Oversee and respond to exam-related incidents, including cases of academic misconduct, and support investigation processes in coordination with relevant academic and administrative units.
- Prepare documentation and reports related to exam operations and incidents; propose preventive and corrective measures to improve exam integrity and quality assurance.
- Exam Question Bank Development and Management
- Collaborate with academic units and faculty to initiate and coordinate the development of structured and secure question banks for final examinations.
- Maintain a centralized, access-controlled repository for storing and managing question banks, ensuring data security and confidentiality.
- Monitor and update the question bank regularly in coordination with faculty to ensure relevance, validity, and academic integrity.
- Facilitate internal reviews of question banks to ensure appropriate coverage, fairness, and avoidance of content repetition across exam cycles.
- Quality Assurance Survey Operations & Data Management
- Make planning and administering university-wide quality assurance surveys (e.g., course evaluations, student experience, employer surveys).
- Ensure timely data collection, processing, and quality control of survey data.
- Support the generation of data summaries and reports for internal stakeholders and accreditation purposes.
- Maintain secure databases and ensure proper documentation of survey cycles and data use.
KEY SELECTION CRITERIA
- A minimum of a Bachelor’s degree in Education, Testing, Quality Assurance, Educational Technology, Educational Administration, Data Management, or related field.
- At least 2 years of experience in exam coordination, educational operation, quality assurance, or institutional research.
- Excellent communication skills in Vietnamese and English languages (minimum IELTS 6.0 or equivalent), in written and oral form. Experience delivering presentations to senior staff.
- Proficient in Microsoft Word, Excel, and PowerPoint. Familiarity with survey tools (e.g., Google Forms, Explorance Blue, Qualtrics) and data analysis software (e.g., Excel, SPSS) is preferred.
- Ability to produce high-quality, professionally formatted documents and engaging presentations for internal and external communication.
- Strong organizational, communication, and documentation skills.
- Ability to work under tight deadlines and to meet high professional standards in all aspects of the work: communication, document writing, accuracy and completeness of data, responsiveness and collaboration, issue resolution, etc.
