OPPORTUNITY

We are seeking a STUDENT SERVICES & DORMITORY SPECIALIST who embodies a unique blend of professional discipline and vibrant energy. This role is designed for a highly proactive and detail-oriented professional who can balance the "calm" required for meticulous operational management with the "vibrancy" needed to lead a dynamic student community.
The Specialist will play a pivotal role in ensuring the seamless 24/7 operation of our dormitory and sports facilities, acting as a reliable first responder and a disciplined executor of university policies. Beyond operations, the successful candidate will be the heartbeat of residential life, actively driving student engagement and fostering a cohesive campus culture.
Working closely with the Student Affairs Manager, the Specialist will support operational planning, and continuous service improvement. We need a team player who is not only a "listener" capable of following high-standard directions but also an "initiator" who takes ownership of student success and facility excellence to ensure a high-quality, safe, and world-class living-learning environment.
POSITION RESPONSIBILITIES
Dormitory Operations: (70% - Core Operations)
- Serve as the first point of contact for students regarding all issues, including security, safety, maintenance, incident reporting, and emergencies.
- Handle room assignments, manage room change requests, and resolve student conflicts or disputes within the dormitory.
- Coordinate with local police for temporary residence registration for students, faculty, and visitors.
- Plan and execute an annual communication strategy and organize student movements/activities to foster a positive dormitory community.
- Manage and schedule shifts/tasks for the Resident Assistants (RA) and collaborate with the Faculty in Residence (FIR) team.
- Oversee facilities for the dormitory and Sports Complex. Report repairs and propose maintenance or upgrades as needed.
Student Support Services: (30%)
- Review and approve room booking requests via Outlook; monitor and manage the task queue on Salesforce.
- Monitor and uphold the university‘s behavioral standards, ensuring all residents clearly understand their rights and responsibilities within the community.
- Maintain meticulous and confidential records of student incidents and complaints, ensuring a structured follow-up process from initial report to final resolution.
- Support department-wide and university-scale events and perform other tasks assigned by the Student Affairs Manager.

EDUCATION AND COMPETENCIES
- Bachelor’s degree in Education, Business Administration, Hospitality Management, or a related field.
- 1-3 years of experience in managing operations of buildings, apartments, hospitality or high-end services. Experience in an educational environment and understanding of student life is an advantage.
- Strong organizational, coordination, and communication skills, with the ability to manage multiple tasks and stakeholders simultaneously.
- Willing to work evenings, weekends, or remain on-site in the dormitory as required by job duties.
- Capable of public speaking, engaging in student activities, and possessing a proactive attitude.
- Demonstrated ability to work proactively and with attention to detail, remain eager to learn and open to guidance and feedback, and take on new challenges in a fast-paced environment.
- Demonstrated ability to work with calmness, self-awareness, respect, and empathy, while maintaining a positive outlook, particularly in high-pressure or ambiguous situations
- Fluency in English and Vietnamese.
