Role Overview:

The Research Grant and Administration Manager at VinUniversity is responsible for overseeing the entire grant lifecycle, from identification and application to management and reporting. This role supports VinUniversity researchers by processing grant applications, managing internal funding sources, assisting with international grant opportunities, and monitoring project progress. The position ensures regulatory compliance, facilitates successful funding outcomes, and optimizes the use of research resources to enhance the university‘s research impact and productivity.

Key Responsibilities:

1. Grant Application Processing & Support

  • Process and manage grant applications.
  • Guide researchers through the application process from opportunity identification to submission.
  • Develop proposal templates and provide editorial review of applications before submission.
  • Organize grant-writing workshops and provide individualized application support to faculty.

2. Internal Funding Management

  • Oversee internal funding sources.
  • Develop and implement transparent allocation procedures for university research funds.
  • Coordinate internal review committees for competitive internal grants.
  • Track utilization of internal funds and ensure alignment with university research priorities.

3. International Grant Support

  • Provide comprehensive support for international grant applications.
  • Research and identify relevant international funding opportunities for faculty and research teams.
  • Assist with navigating complex international grant requirements and compliance issues.
  • Develop relationships with international funding agencies and partner institutions.

4. Research Project Monitoring

  • Monitor and track project progress.
  • Ensure timely submission of progress reports and deliverables to funding agencies.
  • Track budget utilization and advise on reallocation when necessary.
  • Identify potential issues and work with researchers to implement corrective actions.

5. Compliance & Reporting

  • Ensure all grant activities comply with university policies and funding agency requirements.
  • Coordinate with finance, legal, and research ethics offices to maintain regulatory compliance.
  • Prepare and review financial and technical reports for funded projects.
  • Maintain comprehensive records of all grant-related documentation.

6. Research Funding Strategy

  • Work with university leadership to develop institutional research funding strategies.
  • Analyze funding trends and success rates to optimize application approaches.
  • Maintain databases of funding opportunities relevant to VinUniversity research areas.
  • Produce regular reports on grant performance metrics and funding outcomes.

7. Stakeholder Communication

  • Serve as the primary liaison between researchers and funding agencies.
  • Coordinate with academic departments to align funding pursuits with research priorities.
  • Communicate funding opportunities and deadlines to the research community.
  • Facilitate collaboration between research teams for multi-disciplinary grant applications.

8. Capacity Building

  • Organize training sessions on grant writing, budget preparation, and project management.
  • Mentor junior faculty in developing competitive grant applications.
  • Develop resources and tools to support the grant application and management process.
  • Stay current with evolving funding landscapes and grant management best practices.

Minimum Qualifications:

  • Master‘s degree in Research Administration, Business Management, or a related field.
  • Three years of experience in research administration, grant management, or equivalent roles.
  • Demonstrated experience with grant application processes and post-award management.
  • Knowledge of compliance requirements for research grants and contracts.
  • Proficiency with grant management systems and financial tracking tools.

Preferred Qualifications:

  • Experience working in higher education or research institutions.
  • Knowledge of both Vietnamese and international funding mechanisms.
  • Background in developing successful international grant applications.
  • Certification in Research Administration (CRA) or Project Management (PMP).
  • Experience with research development strategies and faculty mentoring.
