POSITION OVERVIEW
This dual-function role supports the Vice President for Research and Innovation (VPRI) by combining strategic oversight of institutional research data infrastructure with high-level executive and operational support. The position ensures data-driven decision-making across Colleges/Centers while enabling effective coordination, prioritization, and execution tracking across the VPRI's broad portfolio.
KEY RESPONSIBILITIES
Research Data & Systems Management

Develop, maintain, and continuously improve research data infrastructure (Scopus/Web of Science integration, internal research information systems, grant/project databases)

Establish a regular data update cycle (monthly/quarterly) with clear data ownership assigned at each Center/College

Ensure accuracy, integrity, and standardization of research metrics; proactively flag anomalies (e.g., citation spikes, misattributed publications) before they reach leadership reports

Build and maintain live dashboards for publications, citations, grants, and ranking indicators to serve as the single source of truth for leadership KPI reporting

Maintain a validated master dataset mapping all research personnel to their respective Center/College

Support benchmarking, analytics, and predictive models for research strategy decisions

Support development of the pre-award/post-award grant management system (proposal tracking, budget monitoring, compliance milestones, reporting deadlines), ensuring seamless integration with research dashboards to eliminate duplicate manual entry

Coordinate with Finance/Legal on compliance data fields required for donor/funder reporting

Produce regular institutional reports and insights for leadership

Maintain up-to-date SOPs and guidelines (data submission templates, Scopus author profiles, ORCID linkage, affiliations)

Deliver periodic training to Center/College research coordinators on data entry standards and dashboard use

Serve as primary point of contact for Centers/Colleges on data discrepancies and system-related questions

Support equipment investment decisions using utilization and research-output data

Coordinate with Marketing/Communications on public-facing research metrics
Calendar & Priority Management

Manage the VPRI's complex, multi-layered calendar across university leadership, RMO, RISE Research Centers, and external stakeholders (partners, industry leaders, global institutions, scientists)

Prioritize and align engagements with institutional priorities across the VPRI's multiple leadership roles

Prepare and coordinate high-level/VIP engagements, ensuring proper sequencing, briefing readiness, and follow-up

Anticipate scheduling conflicts and proactively manage reprioritization
Strategic Coordination & Execution Tracking

Support coordination across RMO, Colleges, and RISE Research Centers (People, Planet, Prosperity clusters)

Track key decisions, action items, and strategic initiatives; follow up to ensure timely execution

Prepare progress summaries, risk assessments, and outstanding action reports
Executive Documentation & Briefings

Prepare briefing notes, reports, presentations, and talking points for internal/external engagements

Consolidate multi-unit inputs into clear, decision-ready materials
Cross-Functional Liaison

Serve as key liaison between the VPRI and: (i) Director of RMO, (ii) RISE Center leadership, (iii) College leadership/faculty, (iv) internal and external stakeholders
REQUIRED QUALIFICATIONS

Bachelor's/Master's degree in Research Administration, Information Systems, Statistics, or a related field

3–5+ years of experience in institutional research, research analytics, or administration/management (Higher Education, Funding Agency, or R&D context strongly preferred)

Advanced proficiency in Excel, SQL, and Power BI

Experience with bibliometric databases (Scopus, SciVal, Web of Science) and ranking methodologies (QS, THE)

Understanding of research grant lifecycle (pre-award/post-award)

Strong stakeholder management skills across multiple Centers/Colleges with competing priorities

Proven ability to manage complex, multi-stakeholder calendars for senior leadership
-
Excellent organizational skills, attention to detail, and proactive anticipation of needs

Ability to synthesize multi-unit inputs into clear, decision-ready materials under tight deadlines

Fluent English; Vietnamese proficiency preferred for internal coordination
PREFERRED QUALIFICATIONS

Prior experience building institutional dashboards or research information systems

Familiarity with research integrity/COI data considerations

Experience in a multi-center or matrix research organization structure

Familiarity with research ecosystems (grants, publications, industry partnerships)

Experience supporting academic leadership or VIP/high-level engagements
