ABOUT THE POSITION
The Registrar Officer is responsible for supporting the development and management of the academic calendar, maintaining student records, coordinating course registration, and ensuring compliance with university policies and regulations. This role plays a critical part in facilitating the smooth operation of academic processes and supporting students, faculty, and staff.
The position is a six-month contract, offering a valuable opportunity to contribute to key administrative functions within the university.
KEY ACCOUNTABILITIES
- Academic Calendar Development:
- Assist in the creation and management of the university’s academic calendar.
- Coordinate with various departments to schedule important academic events, including registration periods, examination schedules, and academic deadlines.
- Ensure the academic calendar is communicated effectively to students, faculty, and staff.
- Enrollment Coordination
- Manage the enrollment process for new students, including the issuance of acceptance letters and enrollment confirmations.
- Coordinate with various departments to ensure a smooth transition for new students.
- Timetabling and Course Registration:
- Manage the curriculum configuration on SIS system
- Manage the course registration process
- Provide support to students experiencing registration issues and resolve conflicts as needed.
- Coordinate with academic departments to ensure course availability and accuracy in the course catalog.
- Student Records Management:
- Maintain accurate and up-to-date student records in accordance with university policies and legal requirements.
- Process requests for transcripts, degree verifications, and other official documents.
- Ensure the confidentiality and security of student records.
- Student Information System (SIS) Management:
- Oversee the implementation, maintenance, and optimization of the SIS
- Train staff and faculty on the effective use of the SIS.
- Collaborate with IT to troubleshoot and resolve any technical issues related to the SIS.
- Work with IT and other departments to integrate the SIS with other university systems and platforms.
- Examinations and graduation:
- Develop and manage detailed exam schedules and book examination rooms.
- Provide logistic support for exams and results processing.
- Assist with student transitions between programs or colleges.
- Audit student academic records to ensure degree requirements are met.
- Handle student-related aspects of graduation ceremonies.
- Policy Compliance:
- Ensure compliance with university policies, accreditation requirements, and relevant legal regulations.
- Stay informed about changes in higher education regulations and update processes accordingly.
- Assist in the development and implementation of academic policies and procedures.
- Registry Service:
- Handle registry services: credit transfer, program change, leave of absence, withdrawal, etc
- Provide exceptional customer service to students, faculty, and staff.
- Address inquiries and provide information regarding academic policies, registration procedures, and student records.
- Support students with special requests or circumstances.
- Data Reporting and Analysis:
- Generate reports on enrollment, course registrations, and academic progress as needed.
- Analyze data to support decision-making and improve academic services.
- Assist in the preparation of institutional reports for accreditation and compliance purposes.
- Collaboration and Communication:
- Work closely with other university departments to ensure seamless academic operations.
- Communicate effectively with students, faculty, and staff regarding academic procedures and updates.
- Participate in university committees and meetings as required.
KEY SELECTION CRITERIA
- Bachelor or higher degree in education or related fields
- At least 3 years of equivalent experience in a high-volume, detail-oriented environment, preferably within higher education or customer service.
- Excellent IT skills, including word processing, spreadsheet, and presentation packages.
- High standards of accuracy, consistency, and attention to detail
- Ability to prioritize and respond effectively to competing demands.
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
- Familiarity with MOET (Ministry of Education and Training) requirements is preferred.
- Excellent written and verbal communication skill in English. The minimum requirement is IELTS (Academic) with a score of at least 6.5 (or equivalent) (As English is the language of teaching and communication at VinUniversity).
- Critical competencies needed: Cultural sensitivity, Communication, Critical thinking, Achievement oriented, Adaptability, Data analysis, Digital literacy, Discipline and Resilience.
- Knowledge of labor code and work permit/visa/passport for foreign employees is an advantage.
