ABOUT THE POSITION

The Global Engagement Specialist (Data and Partnership Management) - is an integral member of the Global Engagement Department of VinUniversity. He/she is responsible for managing the University's academic partnership and contact database, supporting academic reputation ranking processes, and developing data-driven systems to monitor and enhance global engagement. The role ensures the accuracy and integrity of institutional partnership data, provides actionable insights through dashboards and reporting, and supports strategic decision-making on international partnerships and engagement activities. The Specialist will work closely with internal colleges, administrative units, and international partner institutions to enhance operational excellence and support data-informed decision-making. He/she will also coordinate partnership activities and contribute to VinUniversity's internationalization strategy and global reputation. The Global Engagement Specialist will report to Director of Global Engagement.

KEY RESPONSIBILITIES

Academic Contact Database Management:

  • Update, manage, monitor and analyze the university’s database of academic partnerships and contacts ensuring data accuracy, completeness, consistency, and timely updates.
  • Manage the database/CRM systems that support the academic reputation ranking process and the academic partnerships of the university
  • Maintain comprehensive profiles of academic partners, including institutional information, partnership status, key contacts, agreements, programs, activities, and engagement history.
  • Develop and maintain data dashboards and management reports to provide real-time or periodic visibility of global engagement activities
  • Collaborate with Colleges, Centers, departments, offices to collect, reconcile, validate, and consolidate global engagement data from multiple sources
  • Establish regular data review and reporting cycles on global engagement activities

Academic Partnership:

  • Support with the management and development of academic partnerships for the university
  • Maintain the relationship with academic partners through different communication channels
  • Track and maintain comprehensive reports on relationship and engagement history, including meetings, email communications, events, institutional visits, MoUs, student/faculty exchange activities, and potential collaboration opportunities
  • Monitor and analyze academic partnership and contact data to identify engagement trends, partnership opportunities, inactive relationships, and areas requiring follow-up or strategic attention

Collaboration and communication with Internal & External Stakeholders:

  • Contribute to content creation of the academic newsletters to enhance VinUni‘s academic reputation, focusing on academic milestones, research impact, and collaborations
  • Compose the internal and external messages to communicate about the academic reputation management efforts
  • Communicate with academic stakeholders to keep them informed of the academic and research developments at VinUni and strengthen relationships with these stakeholders to support the university’s reputation
  • Ensure smooth communication across academic and administrative departments, aligning internal stakeholders with the university’s academic reputation objectives
  • Assist in engaging with academic organizations, alumni, and external partners to enhance VinUni’s academic reputation globally

Events & Conferences Support:

  • Help organize academic events, seminars, webinars, and conferences that showcase VinUni’s research and academic leadership
  • Research and recommend academic conferences and events that align with the university’s branding and academic goals
  • Provide support for faculty and researchers in their participation in prestigious international academic events
  • Support for university wide academic related events

KEY SELECTION CRITERIA

Education:

  • Bachelor’s degree in data management, Data Analytics, Public Relations, Communications/Marketing or a related field.

Experience:

  • 2-4 years of experience in academic partnership, data management, or communications, preferably within higher education or a related industry.
  • Experience with handling a large amount of dataset, working with Excel and data management system
  • Experience in writing and content creation, with an understanding of academic communications and branding.
  • Experience with CRM systems, PowerBi or partnership management databases is an advantage.
